Privacy Policy
MySalesSquad.AI (“MySalesSquad.AI,” “we,” “us,” or “our”) provides a business-focused platform that helps sellers plan, execute, and improve their go-to-market work (the “Service”).
This Privacy Policy explains how we collect, use, share, and protect information when you:
- visit our websites and Trust Center pages, or
- create an account and use the Service.
If you have questions, email privacy@mysalessquad.ai.
1. Scope and definitions
1.1 Who this policy applies to
This policy applies to:
- visitors to our websites, and
- users of the Service (including users acting on behalf of a company or other organization).
The Service is intended for business use. It is not designed for personal, family, or household use.
1.2 Definitions
“Personal Information” or “Personal Data” means information that identifies, relates to, describes, or can reasonably be linked to an identifiable person.
“Customer” means the company or organization that enters into our Terms of Service (or otherwise authorizes use of the Service).
“Customer Content” means the information you or your organization submit to the Service, including messages, prompts, notes, documents, uploaded files, audio recordings, and outputs generated through the Service.
1.3 Controller and processor roles
- When we process account information (for example, your sign-in details and account preferences), we act as a controller.
- When we process Customer Content on behalf of a Customer, we generally act as a processor (or service provider) and the Customer is the controller.
If your organization requires a data processing addendum, see our DPA in the Trust Center.
2. What we collect
We collect information in three main ways: (1) information you provide, (2) information collected automatically, and (3) information from third parties.
2.1 Information you provide
Depending on how you use the Service, you may provide:
- Account information (name, email address, authentication method, workspace membership)
- Profile and preferences (preferred name, locale, timezone, theme preference)
- Customer Content (messages, prompts, notes, documents, files, and other inputs you provide)
- Audio content (if you use voice features, we process audio you submit for transcription and related workflows)
- Support requests (the content of messages you send us through Contact Us or support channels)
If you choose to include personal data about other people in Customer Content (for example, business contact details), you are responsible for ensuring you have the rights and permissions to provide that data.
2.2 Information we collect automatically
When you access the Service, we may collect:
- Usage information (pages viewed, features used, timestamps, clicks, and actions within the Service)
- Device and browser information (device type, operating system, browser type, language settings)
- Log and security information (IP address, approximate location derived from IP, request IDs, and security-related events)
We use this information to operate the Service, improve reliability, and protect against misuse.
2.3 Information from third parties
We may receive information from:
- Authentication providers (for example, if you sign in with a third-party identity provider, we may receive your name, email, and profile image)
- Integrations you choose to connect (for example, if you connect third-party tools, we may receive data you authorize the integration to share)
3. How we use data
We use information for the following purposes:
- Provide the Service, authenticate users, and maintain your account
- Process Customer Content to deliver features you request
- Provide customer support and respond to inquiries
- Improve and develop the Service (for example, product analytics, debugging, quality improvement, and testing)
- Maintain security, prevent abuse, and protect the integrity of the Service
- Comply with legal obligations and enforce our Terms and Acceptable Use Policy
- Communicate with you about the Service (for example, service notices, security notifications, and product updates)
We may create aggregated or de-identified information and use it for analytics and improvements. We do not attempt to re-identify de-identified information except to validate our de-identification process or where required by law.
3.1 Legal bases for EU/UK processing
If EU/UK data protection laws apply, we rely on one or more of the following legal bases:
- Contract (to provide the Service and fulfill our obligations)
- Legitimate interests (to secure, improve, and operate the Service)
- Consent (where required, such as certain non-essential cookies or optional communications)
- Legal obligation (to comply with applicable laws)
4. How we share data
We share information only as described below.
4.1 Service providers and subprocessors
We use trusted vendors to help us operate the Service (for example, hosting, databases, email delivery, customer support tooling, and AI model providers).
These vendors process data only to provide services to us and are subject to contractual obligations to protect data.
We list current subprocessors in the Trust Center Subprocessors page.
4.2 Within your organization
If you use the Service through a Customer account or workspace, information (including Customer Content) may be accessible to authorized users within that workspace based on the Customer’s configuration and permissions.
4.3 Legal, safety, and compliance
We may disclose information if we believe in good faith that disclosure is necessary to:
- comply with law, regulation, or legal process,
- protect the rights, safety, and security of MySalesSquad.AI, our users, Customers, or the public, or
- prevent fraud, abuse, or security incidents.
4.4 Business transfers
If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction, subject to reasonable confidentiality protections.
4.5 No sale of personal information
We do not sell personal information.
We do not share personal information for cross-context behavioral advertising.
5. AI processing and service providers
The Service includes AI-powered features that can generate outputs based on inputs and context.
When you use AI features:
- your inputs and related context may be sent to one or more AI providers to generate outputs, and
- we may store inputs and outputs within our systems to provide the Service, maintain continuity, support troubleshooting, and improve product quality.
We may change AI providers, models, and routing logic over time for quality, reliability, security, and cost reasons.
We do not train foundation AI models on Customer Content as part of operating the Service, unless we clearly tell you otherwise and provide a separate choice.
For additional details about AI usage expectations and limitations, see our AI Policy.
6. Retention and deletion
We retain information for as long as needed to provide the Service and for legitimate business purposes, such as security, auditability, dispute resolution, and compliance.
Because the Service is currently offered as an invite-only beta:
- features may change frequently, and
- we may delete Customer Content and other data at any time.
For more detail, see our Data Retention and Deletion policy in the Trust Center.
7. Security
We use commercially reasonable administrative, technical, and organizational measures designed to protect information.
No system is perfectly secure. You are responsible for using strong credentials and protecting access to your account.
If you believe there is a security issue, contact security@mysalessquad.ai.
8. International transfers
We are based in the United States and may process and store information in the United States and other locations where we or our service providers operate.
If EU/UK data transfer rules apply, we use appropriate safeguards, which may include Standard Contractual Clauses and other lawful transfer mechanisms.
9. Your rights and choices
9.1 Account controls
You can update certain preferences in your account settings. You can also contact us to request access, correction, or deletion, subject to applicable law and contractual obligations with the Customer.
9.2 EU/UK rights
If EU/UK data protection laws apply, you may have the right to:
- access your personal data,
- correct your personal data,
- delete your personal data,
- restrict or object to certain processing, and
- receive a portable copy of your personal data.
You may also have the right to lodge a complaint with your local data protection authority.
9.3 California rights
If you are a California resident, you may have rights to:
- request information about the personal information we collect, use, and disclose,
- request deletion or correction of certain personal information, and
- opt out of “sale” or “sharing” as those terms are defined under California law.
We do not sell personal information and we do not share personal information for cross-context behavioral advertising.
To exercise rights, email privacy@mysalessquad.ai.
9.4 Children’s privacy
The Service is intended for business users and is not directed to children. We do not knowingly collect personal information from children under 13 (or other age as required by law). If you believe a child has provided personal information to us, contact privacy@mysalessquad.ai and we will take reasonable steps to delete it.
