Data retention and deletion
We keep data only for as long as we need it to provide the Service, maintain security, comply with law, and resolve disputes. We aim to be practical and transparent.
Because MySalesSquad.AI is currently an invite-only beta, features may change quickly and we may delete data at any time. If something is important, please keep your own copy.
Overview
This policy describes how we handle retention and deletion for:
- Account data (your account and workspace information)
- Content and outputs (what you submit and what the Service generates)
- Logs and security data (information used to keep the Service reliable and safe)
Retention can be affected by:
- your instructions (for example, you ask us to delete data),
- legal requirements (for example, a valid legal request or legal hold), and
- security needs (for example, investigating abuse or a security incident).
Account data
Examples of account data include:
- name and email address
- authentication method and workspace membership
- preferences such as locale, timezone, and theme
How long we keep it:
- While your account is active, we retain account data to provide the Service.
- If your account is closed or deleted, we generally delete or de-identify account data within a reasonable period, unless we need to retain certain information for security, fraud prevention, legal compliance, or dispute resolution.
During beta:
- We may delete or reset account data earlier, including as part of product changes, migrations, or testing.
Content and outputs
Examples of content and outputs include:
- messages, prompts, notes, and documents you provide
- files you upload or connect
- generated outputs (including AI outputs)
- audio you submit for transcription and the resulting transcripts (if you use voice features)
How long we keep it:
- While your account/workspace is active, we may retain content and outputs to provide the Service, maintain continuity, support troubleshooting, and improve product quality.
- If you request deletion, we will make reasonable efforts to delete content from active systems within a reasonable period, subject to the limits described below.
Important notes:
- Backups: Like most services, we may keep encrypted backups for a limited period. Data removed from active systems may persist in backups until those backups are rotated or expire.
- Beta environment: We may delete content and outputs at any time, with or without notice.
Logs and security data
Examples of logs and security data include:
- IP address and approximate location derived from IP
- device/browser information
- timestamps and event logs (for example, sign-in attempts, rate limit events, audit and debugging signals)
Why we keep it:
- detect and prevent abuse and fraud
- troubleshoot reliability issues
- monitor performance
- investigate security incidents
How long we keep it:
- We generally retain logs for a limited period based on operational and security needs, and may retain some logs longer if needed to investigate an incident, enforce our terms, or comply with legal obligations.
Deletion process
How to request deletion:
- Email privacy@mysalessquad.ai and include your account email and workspace name (if applicable).
What happens next:
- We may ask for information to verify the request.
- We will make reasonable efforts to delete data from active systems within a reasonable period.
Limits and exceptions:
- We may retain limited information where necessary to comply with law, respond to lawful requests, enforce our agreements, or protect the Service and users from abuse.
- We may de-identify data instead of deleting it in some cases (for example, to maintain aggregate analytics without identifying individuals).
- Deleted data may remain in backups until backup rotation completes.
